The HOA Loan Client Portal: A Walkthrough

Ben Kirschner · · 4 min read

Three roles use the portal: the board treasurer, the property manager, and our team. The board uploads governance documents, financial statements and the reserve study once; the AI pulls key figures, our team vets them, and we take the file to several lenders rather than one bank. Access comes once an association has engaged us and has a live loan file.

What does the AI-enabled client portal actually do, and why should a board treasurer care? The client portal we launched in June 2025 was built to answer a frustrating question we had been hearing for years: why does applying for an association loan still feel like a 1998 fax queue? This post walks through the portal end to end, who logs in, what gets uploaded, what the AI does with it, and how the whole thing connects to our network of HOA lenders.

Who Logs In

Three roles use the portal. Typically it is the board treasurer, often a volunteer with a real job who is doing this on top of everything else. The second is the property manager, who usually has the financial statements and delinquency reports ready to go. The third is the management company executive, brought in on larger associations where the treasurer wants institutional backup.

The portal is built for all three. The treasurer sees a guided flow. The property manager sees a document upload queue. The management exec sees a status dashboard. Same data, three views, one source of truth. We did this on purpose because the bottleneck on most HOA loans is not the lender. It is the back-and-forth between the people who hold the documents.

The Upload Flow

Lenders typically ask for four document categories: governance documents, reserve study, financial statements, and the delinquency report. The portal asks for each in plain language, not lender jargon.

Governance documents include the CC&Rs, bylaws, and any recent amendments. The portal accepts PDFs in whatever shape your association keeps them. Upload your reserve study (generally within the past 3 years). Financial statements means at least the last three years of year-end statements. Some lenders also ask for recent month-end statements. Delinquency report is what your management company runs monthly, exported as a PDF or CSV.

You upload. The portal confirms receipt. You move on. We have watched treasurers complete this step on a phone in a parking lot between meetings. That is the design target.

What the AI Does, and What We Do

The AI does one part of this and our team does the rest, and we want to be precise because there is a lot of marketing language in this space that does not survive contact with reality.

First, the AI extracts key numbers. From financials, it pulls operating reserves, total assets, total liabilities, and the trend lines on income and expenses. From the delinquency report, it pulls the percentage of units more than 60 days past due and the dollar value at risk.

Second, our team vets those figures against the documents they came from. Extraction is quick and it is not infallible, so a person checks it before the file goes anywhere.

Third, we package the file, highlighting the items lenders focus on, such as delinquency and owner concentration. We don't underwrite loans, make credit decisions, or lend money. The point of the packaging is that a lender can review a complete and consistent file without chasing us for the basics, and that the questions worth asking are visible on the first pass rather than the second.

How It Connects to the Lender Network

This is the part that matters. The portal is not a substitute for our network; it is the front door to it. Once the file is extracted, vetted and packaged, the deal goes to a human at HOAL. That is where Larry Kirschner, Ben, and the rest of our team look at the deal and decide which lenders in our network are the right fit.

The matching is not automated, and it never will be. A 60-unit garden-style association in a stable suburb is a different lender conversation than a 200-unit high-rise with a multimillion-dollar envelope project. The portal makes the data clean. We make the judgment call. That division of labor is intentional.

What Makes Us Different

Two things make this combination unusual. The strategist model means we are paid only if your loan closes, which means the portal is built to get you to a closing that works for you, not to one that maximizes any individual lender's revenue. Lenders have portals. Brokers have portals. And the portal sits in front of a 50-state lender network rather than a single balance sheet, so a clean file goes out to lenders who compete for it.

We have partnered with HOA Start since November 2025. Associations with governance hygiene issues get coached through fixes before the loan package goes out, which improves underwriting outcomes downstream.

The Honest Limitations

The portal does not replace the conversation. Larger or more complex deals still require a real call with our team, and we recommend it. The AI is fast at extraction and pattern matching. It is not a substitute for the judgment of someone who has placed these loans before. We built the portal to make the data clean and the prep fast. The decisions still happen between humans.

If your board is starting to think about a loan, the first step is a conversation rather than a login. Get in touch, tell us what you have, and we will tell you what we see and recommend next steps. Portal access follows once we are working together. The conversation costs nothing.

Boards also ask

  • Can you work with our property manager?

Yes. We're happy to work with your property manager, your board, or both; whatever your community prefers.

  • Which lenders do you work with?

We maintain relationships with multiple lenders who specialize in association financing, which lets us shop your project and bring back competing proposals. Working with one bank gives you one offer; this gives you a market.

  • How do we get an HOA loan?

Five steps. You tell us about the project and send your financials; we review what your association can realistically support and confirm your borrowing authority; we take your project to the lenders most likely to approve a community like yours and bring back competing proposals; your board selects one and completes the approval process your documents require; the loan closes. From application to closing it usually runs 30 to 90 days, and some loans take longer for a variety of reasons.

  • What does your service cost?

Nothing up front. No retainers, hourly charges, or cancellation fees. The association pays our fee at closing, and it can come out of the loan proceeds. The fee is quoted up front in our engagement letter and doesn’t change based on which lender wins. If the loan doesn’t close, there is no fee. We work for the association and are never paid by lenders.

  • Who gets access?

The portal does three things. Your board answers a few guided questions and uploads documents, so we have accurate data on your community. We then share a read-only summary with lenders, so they can quickly decide whether to look further or politely pass. Our team manages the deal day to day. Lenders see only what we share, and each client can add information only to its own deal.

  • How is the data secured?

Documents are encrypted. We do not train external models on your association's data.

  • Who sees the documents we upload?

Only the lenders we share your deal with, and only when they review it.

  • What happens if we decide not to proceed?

You owe us nothing. If the loan doesn't close, there is no fee.

Still deciding? Talk it through with us.

We’ll talk with any board at no charge and no obligation, just answers.
