This notice explains how HOA Loan Services (Arch Capital Solutions, LLC, "we," "us," or "our") collects, uses, and shares your information when you visit www.hoaloanservices.com, submit a form, download a guide, use our client portal, or otherwise work with us (together, the "Services").

1. Information we collect
Information you give us
When you contact us, request a consultation, download the board guide, subscribe to updates, or use the client portal, you may provide:
- Name, email address, phone number, and mailing address
- Your role and the name and location of your association or management company
- Details about your project, your community, and the financing you are considering
- Documents you upload to the client portal, which may include association financial statements, budgets, reserve studies, governing documents, and lender correspondence
Documents you upload may contain information about individual owners or board members. You are responsible for having the authority to share them with us.
Information collected automatically
When you visit the website, we and our service providers automatically collect device and usage information such as IP address, browser and device type, operating system, referring page, pages viewed, and time on site. Location is inferred from IP address only; we do not collect precise GPS location.
We collect this through cookies and similar technologies. See Section 5.
Information from third parties
We do not buy personal information from data brokers. Lenders we work with on your behalf may share information about your application with us as part of that process.
2. How we use your information
- To respond to your inquiry and provide the consultation, guide, or information you requested
- To evaluate, structure, and place financing for your association, including preparing and sharing loan requests with lenders
- To operate the client portal, including using automated tools to organize and extract information from documents you upload so we can review them faster
- To send updates and educational content you have signed up for, which you can stop at any time
- To run, secure, and improve the website, and to understand how it is used
- To measure the performance of our advertising
- To comply with legal, accounting, and record-keeping obligations
We do not use your information to make automated decisions that have legal or similarly significant effects on you. Loan decisions are made by lenders, not by us.
3. How we share your information
We share personal information only as described here.
Lenders and financial institutions. When you ask us to seek financing, we share your association's information and documents with lenders and related parties (such as appraisers or title companies) as needed to obtain and close a loan.
Service providers. Companies that help us run the business, under contracts that limit their use of your information:
- Website hosting and delivery (Vercel)
- Content management (Webflow)
- Customer relationship management and email (HubSpot)
- Email marketing (Klaviyo), if you have subscribed to updates
- Analytics and advertising measurement (Google Analytics, Google Ads)
- The software that runs our client portal
Legal and business reasons. We may disclose information to comply with law, respond to lawful requests, protect our rights or safety, or in connection with a merger, financing, or sale of our business.
We do not sell personal information, and we do not share it with third parties for their own marketing.
4. Advertising and analytics
We use Google Analytics to understand website traffic and Google Ads to measure whether our advertising leads to inquiries. These tools use cookies and may collect the usage information described in Section 1. Google may use this data to show you our ads on other sites.
You can opt out of Google Analytics at tools.google.com/dlpage/gaoptout and manage ad personalization at adssettings.google.com. Where state law treats this kind of advertising as "sharing" of personal information, you can opt out by emailing ben@hoaloanservices.com. We treat a Global Privacy Control browser signal as an opt-out request where the law requires it.
5. Cookies
Cookies are small files placed on your device. We use them to keep the website working, remember your preferences, and support the analytics and advertising described above. You can block or delete cookies in your browser settings; some features of the website may not work without them.
We do not respond to "Do Not Track" browser signals, because there is no accepted standard for them.
6. How long we keep information
- Inquiries and marketing contacts: until you ask us to delete your information or unsubscribe, or until we no longer have a business reason to keep it.
- Loan files and client portal documents: for the life of our engagement with your association and afterward for as long as needed to meet legal, tax, accounting, and record-keeping requirements.
- Website usage data: according to the retention settings of our analytics providers, generally no more than 26 months.
When we no longer need information, we delete it or make it anonymous.
7. Security
We use reasonable technical and organizational measures to protect your information, including encrypted connections and access controls on the client portal. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.
8. Children
The Services are for adults acting on behalf of community associations. We do not knowingly collect information from anyone under 18. If you believe we have, email ben@hoaloanservices.com and we will delete it.
9. Your choices and rights
Marketing email. Unsubscribe using the link in any email, or contact us. We may still send service messages about an active engagement.
Your rights. Depending on where you live, you may have the right to know what personal information we hold about you, to access or receive a copy of it, to correct it, to delete it, and to opt out of targeted advertising. We do not discriminate against you for exercising these rights.
How to exercise them. Email ben@hoaloanservices.com with your name, contact information, and what you are asking for. We may need to verify your identity before acting on a request. You may authorize someone to make a request for you; we may ask for proof of that authorization. If we decline a request, we will explain why, and you may appeal by replying to us. If you are not satisfied with our response, you may contact your state attorney general.
California residents. In the past twelve months we have collected identifiers, contact and professional information, project and financial information related to your association, and website usage data. We have not sold personal information. We have disclosed personal information to the lenders and service providers described in Section 3 for business purposes. California residents may also request, once a year, a list of third parties to which we disclosed personal information for their direct marketing purposes in the prior year; we do not make such disclosures.
10. Changes to this notice
We may update this notice from time to time. The date at the top shows when it was last revised. If we make material changes, we will post a notice on the website.
